These Terms of Service and Privacy Policy explain how I run my solo virtual assistant service and how I handle any information you share with me. By visiting this site or using my services, you agree to these terms. Please read them carefully.

Terms of Service

1. Introduction Hey Constance is a premium, U.S.-based solo virtual assistant service owned and operated by Constance Brown (a sole proprietorship or Florida LLC, as applicable). These Terms govern your use of the website and any services you engage me for.

If you book services, we will also sign a separate Client Agreement that includes more detailed scope, hours, and payment terms. In case of any conflict, the signed Client Agreement takes priority.

2. Services Overview I provide calm, reliable admin support and digital presence help to overwhelmed solopreneurs, coaches, consultants, and small business owners.

Core services include inbox and email management, calendar scheduling, travel booking, expense tracking, light project management, meeting notes, basic CRM updates, social media support, WordPress maintenance, and various one-off projects.

Important notes:

  • Services are tailored through custom proposals or signed retainers.
  • Results depend on many factors outside my control. I do not guarantee specific business outcomes.
  • I only perform tasks we have explicitly agreed upon.

3. Monthly Retainers & Payment Terms Most clients choose a monthly retainer (Light Touch, Right Hand, Deep Breath, or Custom).

  • Minimum commitment: 3 months, then month-to-month.
  • Payment: Auto-billed via Stripe or Wave on the 1st of each month (or as agreed). Payment is due in full upfront.
  • Hours: You purchase a block of hours each month. Up to 5 unused hours roll over.
  • Refunds: No refunds for partial months once work has started.
  • Late payments: Work may pause if payment is more than 7 days overdue.

One-off projects usually require a deposit.

4. Pause, Cancellation & Termination After the initial 3-month commitment, you may pause or cancel with 30 days written notice. I may terminate the relationship with 30 days notice or immediately for breach of these terms (e.g., non-payment).

5. Communication & Availability Business hours: 9:00 AM – 5:00 PM ET, Monday–Friday. I aim for same-day responses on business days for tasks within your hours. Most communication is async and secure.

6. Scope of Work & Boundaries I do not provide legal, financial, medical, or accounting advice. I will not engage in illegal or unethical activities. You remain responsible for final decisions.

7. Intellectual Property You own the work I produce for you (once paid). I retain ownership of my website content and general processes. I may use anonymized testimonials with your approval.

8. Limitation of Liability & Disclaimers Services are provided “as is.” My total liability is limited to the fees you paid me in the 3 months before any claim. I am not liable for indirect or consequential damages.

9. Governing Law These Terms are governed by the laws of the State of Florida. Disputes will be handled in the courts of Hillsborough County (Riverview/Ruskin area preferred).

10. Changes to These Terms I may update these Terms. Continued use after changes means you accept the updates.

Hey Constance respects your privacy. This Privacy Policy explains what information I collect when you visit heyconstance.com or work with me, how I use and protect it, and your rights.

Information I Collect

  • Contact information you provide (name, email, phone, business details) via forms or cal.com scheduling.
  • Information you share during our work together (emails, documents, calendar details, etc.).
  • Basic usage data (IP address, browser type) collected automatically via secure hosting logs.

I do not collect sensitive personal data unless you voluntarily share it as part of a service task, and I handle it with care.

How I Use Your Information I use your information only to respond to inquiries, deliver the agreed services, communicate about your projects, send invoices/notices, and improve my processes. I never sell your data.

Cookies This site may use essential cookies to help the website function properly (for example, remembering your preferences). I do not use advertising or tracking cookies. You can manage or disable cookies through your browser settings at any time. Note that disabling cookies may affect how the site works for you.

  • For active clients: Data is retained for the duration of our working relationship.
  • After termination: I typically retain basic contact and billing records for up to 3–7 years (as required for taxes and legal protection), then securely delete or anonymize them.
  • You can request deletion of your data at any time (subject to legal obligations) by contacting me.

Sharing & Disclosure I may share limited information only with trusted service providers I use to deliver services (such as Google Workspace, Notion, cal.com, Stripe, or LastPass). These providers are bound by confidentiality and security standards.

I do not share your data with marketing companies. I may disclose information if required by law (e.g., valid court order).

Data Security I take reasonable steps to protect your information through secure hosting, encrypted connections, password sharing via LastPass, and limited access (I’m a solo operator). No system is 100% secure, but I treat your trust seriously.

Your Rights You can request access to, correction of, or deletion of the personal data I hold about you by contacting me.

Children’s Privacy This site and my services are not directed at children under 13. I do not knowingly collect personal information from children.

Changes to This Policy I may update this Privacy Policy. Changes will be posted here with the new date. Continued use after updates means acceptance.
